This policy explains what personal information Varnaya Technologies LLP collects through www.varnaya.com and the GyanBot service, why we collect it, and the choices you have.

Who we are

Varnaya Technologies LLP (“Varnaya”, “we”, “us”) is a limited liability partnership registered in India, with its registered office at Shop No. 29, Kohinoor Textile Market, Ring Road, Surat, Gujarat 395002, and an office at Flat No. 3, Om Hema Residency, opposite Narayana Techno School, Bhayandar West, Maharashtra 401101.

Information we collect

Depending on how you interact with us, we may collect:

  • Enquiry details you submit through this website — name, email address, phone number, organisation and the content of your message.
  • Waitlist details — your name, contact details, and optionally your child's class and board, so we can allocate an appropriate early-access slot.
  • GyanBot account data — the account holder's contact details and, for each learner profile, a display name, class and board.
  • Learning data generated in GyanBot — answers given, hints used, time on task and the resulting topic mastery estimates.
  • Voice input, when a learner chooses to answer by voice. Audio is processed to produce a text answer and is not retained as a permanent recording.
  • Basic technical data such as device type, browser and approximate region, used to keep the service secure and working.

How we use it

  • To reply to your enquiry or allocate your waitlist slot.
  • To deliver, personalise and improve the tutoring experience for the learner it belongs to.
  • To produce progress summaries for the parent or school that controls the account.
  • To maintain security, prevent abuse and meet our legal obligations.

We do not sell personal information. We do not use children’s data for advertising or profiling unrelated to their learning.

Children's data

GyanBot is used by children, and we hold ourselves to a higher standard because of it.

  • Accounts are created and controlled by a parent, guardian or school — never by a child independently.
  • A learner's data is used to teach that learner. It is not used to train models for unrelated purposes without separate, explicit consent from the account holder.
  • Parents and schools can review the learning data held for a child, correct it, or ask us to delete it.
  • We collect the minimum needed for tutoring. We do not ask children for addresses, photographs or contact details.
  • Conversations are constrained to learning content and are monitored for safety.

Legal basis and consent

Where the law requires a legal basis, we rely on your consent (for enquiries, waitlist sign-ups and marketing), on the performance of a contract (to provide GyanBot to a subscribing family or school), and on our legitimate interests in securing and improving the service. You may withdraw consent at any time by contacting us.

Sharing and processors

We share personal information only with service providers who help us run the service, under contract and only for that purpose. These currently include cloud hosting and infrastructure (Microsoft Azure, hosted in India where available), email delivery, and AI model providers used to generate tutoring responses.

We may disclose information where we are legally required to do so, or to protect the safety of a child or another person.

Retention

Enquiry and waitlist records are kept for up to 24 months. Learning data is kept for as long as the account is active, and for up to 12 months after closure so a returning learner does not lose their progress. You can ask us to delete it sooner.

Security

We use encryption in transit, access controls, and least-privilege access to production systems. No system is perfectly secure, but we treat children’s learning data as sensitive and design accordingly.

Your rights

Subject to applicable law, you may request access to the personal information we hold about you or your child, correction of inaccurate information, deletion, or a copy in a portable format. Write to contact@varnaya.com and we will respond within 30 days.

Cookies

This website uses only what it needs to function — for example, remembering your light or dark theme preference in your browser’s local storage. We do not use advertising cookies or third-party tracking pixels on www.varnaya.com.

Changes to this policy

We will update this page when our practices change and revise the “last updated” date above. Material changes affecting existing accounts will also be notified by email.
